Plain English, because you should not need a solicitor to work out what happens to your messages. If anything here is unclear, ask and we will fix the wording.
House Agent is an early stage product, run by a small team in the UK. For anything about your data, email admin@aydayazdani.com and a person will reply.
All of it lives on our own server, not a third party database.
Every message sent in a chat House Agent is part of, including ordinary conversation, not only the ones about repairs. It needs the context to tell a problem from small talk.
Your Telegram display name and account id. If you sign in on the website, your Google name and email address. We ask Google for nothing else, and cannot read your Gmail or Drive.
The address, who you rent from, and anything you paste in such as a tenancy agreement. From those we keep the dates, rent, deposit scheme and reference.
The name, email and phone number of the letting agent, landlord, utility suppliers or tradespeople you tell us to contact. They have not signed up. We only ever use these to contact them about your property.
Every case, every email in and out, every chase, every phone call, with the date it happened. This is the point of the product, so it is deliberately hard to change.
A short summary rebuilt from your messages: who lives there, what keeps breaking, how your agent behaves. No health, money or relationship details.
Four kinds of people and companies, and no one else. We do not sell anything to anybody.
Under UK data protection law we have to have a reason for each thing we do. Ours are these.
Our server and our email are in Europe. The AI models that read your messages are not all in the UK or the EU.
An AI model reads every message and decides whether to open a case, chase someone, or say nothing. It also drafts what gets sent to your agent. It does not decide anything with a legal effect on you, and a person is never replaced in a decision that matters: the emails are copied to you every time, and you can tell it to stop, correct it, or close a case with one message. If it gets something wrong, tell it, and tell us.
We keep your record for as long as you use House Agent, and for two years afterwards, because a deposit dispute can surface long after you have moved out. That is the whole reason the record exists.
You can ask us to give you a copy of everything we hold about you, correct anything that is wrong, delete it, stop using it for a while, hand it to someone else in a portable form, or object to us using it at all. Where we rely on your consent you can take it back at any time. Email admin@aydayazdani.com, say what you want, and we will do it within 30 days, apart from anything we are legally required to keep.
One honest caveat about deletion. The record is deliberately append-only, so entries cannot be quietly edited after the fact. That is what makes it worth having in a dispute. If you ask us to delete it, we delete the whole record rather than altering parts of it.
If you think we have handled your data badly, tell us first, and if we do not put it right you can complain to the Information Commissioner's Office at ico.org.uk.
If you sign in on the website we set a single cookie to keep you signed in. There is no advertising, no analytics and no tracking of any kind, which is why you are not being asked to accept anything.
Everything travels over an encrypted connection. The database sits outside the public web root and cannot be reached from the internet. Access is limited to the people who run the service.
House Agent is meant for people aged 16 and over. If you believe someone younger is using it, tell us and we will remove their information.
We will update this page and change the date at the top. If a change is significant, we will say so in your chat rather than hoping you notice.
We are getting started and are not charging. If that changes we will tell you before it does, not after.
It can email your agent repeatedly and record that it did. It cannot compel a landlord to attend, and we do not promise any repair will happen.
It can tell you what your tenancy agreement says and keep a dated record. That is not the same as advice about your rights. For that, speak to Shelter, Citizens Advice or a solicitor.
If you smell gas, ring the National Gas Emergency Service on 0800 111 999. For fire, serious flooding or danger to life, ring 999. Do not wait for House Agent.
It will not contact anyone outside your household until someone in it has said it may, and you can withdraw that at any time by telling it to stop.
Do not use it to harass anyone or to report things that are not true. The record cuts both ways: it is a record of what you said as well as what they did.
